This notice explains the information collected by the EW Range Field Report and how it is used. The responsible organization is Volk Field ACTS.
Authorized use
This application supports authorized equipment movement, location, configuration, and operational-status reporting. Do not submit classified information, Controlled Unclassified Information (CUI), or personal information that is not necessary for the report.
Information collected
- First name or call sign and the selected equipment item.
- Report type, equipment location, GPS coordinates, operational status, orientation, configuration, remarks, and date/time.
- Photographs selected or captured by the user.
- Limited technical information needed to confirm email-delivery processing.
How the information is used
Information is used to document equipment changes, update the application’s current equipment information, notify designated range personnel, troubleshoot delivery, and support applicable government records-management requirements. Reports are transmitted to the email recipients configured by Volk Field ACTS. Hosting and email-delivery providers process information as needed to operate the service.
Device permissions
Location is requested only when the user chooses to capture the phone’s GPS position. Camera or photo-library access is requested only when the user chooses to add photographs. The form can also accept manually entered coordinates.
Essential session cookie
After the correct range staff PIN is entered, the application places a strictly necessary, secure session cookie in the browser. It is used only to keep the authorized form session open and is not used for advertising, analytics, or tracking activity on other websites.
Storage and retention
The application retains current equipment information and limited email-delivery status. Report content and photographs are transmitted by email and are not maintained as a separate submission-history page in the application. Official recipients may retain reports in accordance with applicable records policies and schedules.
Providing information
Providing information through this application is voluntary for privacy purposes, although personnel may be directed to complete a report as part of assigned duties. If a report is not provided, the affected equipment change may not be recorded or communicated to range personnel.
